During the Conference
- Be there early. TransNow asks that participants come 10 minutes before the remote portion of the meeting is scheduled to begin, so they can learn how the room works.
- Begin on time. Often, remote staff will want to make the video call before the meeting is even scheduled to start. People joining a videoconference late may disrupt the flow of the meeting more than during a physical meeting.
- Review the agenda, and stay on schedule. Physical meetings often have end times that are a little flexible. Video facilities are often tightly booked or scheduled in such a way that they end exactly when the meeting is originally scheduled to end.
- Encourage participation. It's very easy for one person to do all the talking for a room. When the speaker has been on camera alone for a while, remote parties are unsure who to address their questions to. Direct questions to individuals next to you as well as at remote sites.
- Put time into your agenda for questions. Open the floor for questions at the end. Some people are content to watch the show, and don't feel comfortable joining the conversation to ask questions. Asking for questions will help keep everyone engaged.
How the Room Works
- Power jacks. Pull the tab at the top of the black oval toward you, and the power jacks will pop out of the table.
- Muting the sound. If you push and hold the area labeled 'push' on the microphone, your table microphone will be muted. This way you can whisper to your neighbor without the sound being transmitted. Releasing the button un-mutes the microphone. The operator can mute all the mics in the room at your request.
- Calling the camera. When you wish to speak for more than a few seconds, you should firmly press the green button. The button lights up, then the outgoing camera feed switches from a view of the entire room to a close up of the participants on either side of the green button. When you are done talking, firmly press the green button again to release the camera and return the outgoing feed to a shot of the entire room. The operator may also put you on screen by activating this button remotely.
- Camera in queue. If someone in the room has the camera on them and another camera call button is pushed, both buttons will begin flashing, and there will be a soft clicking sound. This indicates that the camera is in queue, and when the first party releases the camera, it will move directly to the second party.
- Wireless internet access. There are no wired internet connections at the tables. UW Campus wireless is available with a UWNetID. Please indicate on the request form if one or more participants need internet access but do not have a NetID, and TransNow staff will reserve a temporary NetID for the event.
- Refreshments. Only bottled water is allowed in the TCC. Other rooms in More Hall are available if a breakout room with refreshments is requred.
